All Signs Point to a New Way of Planning

As the owner of a business that prioritizes customer service, it’s supremely important that we understand our customer’s needs.  At AE Events, we have always provided a well-planned, professionally curated and high-quality of service. The current environment comes with a new level of challenges, and now requires us to rethink how we produce events. However, the need for engagement, community building, and the client’s organizational successes, all continue to be critical components to a successful event.  

As I approached the U turn sign – I looked both ways, checked both directions and turned our business around – we are now heading in a new direction.

The burning question I ask myself at this time is: Why does an event planner remain so necessary to help clients create memorable and important events?  We are there to not only create events but to also create memorable moments that make huge impacts on individuals and their surrounding communities.  

As we enter into a different time with changing needs and a different level of requirements, what are the NEW and compelling reasons to hire an event planner? As we recently embarked on some of the newest methods of creating events for our clients, the answers became very clear….

First, let’s consider that most people choose to remodel their home by hiring a general contractor. Why?  The general contractor makes sure the work is done properly and that the other contractors hired for the job are professional and understand their roles with the goal of matching the customer’s needs toward a superior end-product. The event planner is much like a general contractor/project manager.  

Now with that in mind, with the coordination between client and planner, we are able to arrive at a mutual understanding of the goals of the project.  As event planners we are there to help guide and answer questions like, what is needed to produce and accomplish an event that matches our client’s needs?  We select and create the pathways toward this end.

With an event planner, you are never going into anything blindly.  Planning is in our title!  Our job is to secure the appropriate vendors, provide suitable platforms for your event needs, accurately communicate the organization’s message, while simultaneously pulling these elements together to create an end product that will not only delight but bring a high level of satisfaction to our clients… and lets not forget, all while staying in budget!

There are many different pathways to choose and our job is to help point the client in the right direction.

Though the event planner/producer may seem like an added expenditure to the event, our overall experience demonstrates that invaluable time and money can be saved for the client when we do our job at its most exceptional level. The event planner has the knowledge, expertise and resources to secure top-quality vendors, products and services, while negotiating optimal contracts and pricing based on long-standing business relationships. We manage these time-consuming but indispensable functions, all with the client’s interests and expectations at the forefront of our efforts. 

The new format for events, whether it be virtual, hybrid or smaller gatherings – each requires a level of detailed planning, research, communication plans, and articulated timelines to ensure ultimate success.
